Our Process

Creating something truly personal takes more than good intentions. It takes the right questions, the right people, and someone willing to hold every detail to the highest standard from beginning to end.

This is exactly what it looks like when you work with Maaven.

It All Starts Here

Reach out and tell us a little about the person you want to celebrate and what's prompting the occasion. This first step is intentionally simple. We just want to understand enough to know we're the right fit for each other and which experience makes the most sense for what you have in mind.

There's no commitment in reaching out. Just the beginning of something worth doing.

The Intake

This is where the real magic begins.

Once we've connected, we'll send you our experience intake. It's a thoughtful set of questions designed to give us everything we need to build something unique. We want to know who they are at their core. What moves them. What they love without apology. What they'd never expect anyone to remember.

Every answer you give us becomes part of what we build. The more honest and specific you are, the more precisely we can create something that makes them feel completely known.

Everything you share stays between us.

The Design

Every vendor is chosen deliberately. Every moment is sequenced with intention. Every detail is traced back to something real in their story. Nothing is included because it seemed like a nice idea. Everything earns its place.

We'll reconnect with you before anything is finalized to make sure what we've built is exactly right. We don't move forward until it is.

The Experience

Everything is confirmed, coordinated, and ready.

Whether it’s an intimate and relaxed day, a perfectly timed surprise, or a series of activities crafted just for them, we’ll handle all the details to make the experience unforgettable.

What Stays

Long after the moment ends, something remains.

Not just the memory, though that too. The feeling of having been truly known. Of someone caring enough to get it exactly right. That feeling doesn't fade when the day ends, and it’s all thanks to you.

That's what we're building toward. Every time.

Frequently Asked Questions

Still have questions? These are the ones we hear most often.

  • No. Not in the traditional sense. We do not produce large-scale events, manage guest lists of hundreds, or coordinate weddings and corporate conferences. What we do is more personal and more specific than that. We design intimate, bespoke experiences for small groups or individuals, where every detail is chosen because it connects to a person's actual story. Think less "event" and more "the most thoughtful thing anyone has ever done for someone you love."

  • We do not. Weddings are a completely different world requiring a completely different infrastructure. There are extraordinary planners in Nashville and we are happy to point you in the right direction. What we do is everything that comes before and after the wedding, and everything that has nothing to do with it at all.

  • Can Maaven plan a proposal? Yes, though we approach proposals differently from our standard experiences. The stakes of a proposal are in a category of their own and we price and design accordingly. If you are thinking about a proposal, reach out and tell us what you are envisioning. We will take it from there.

  • We do not book flights or hotels. But if you are traveling somewhere and want to create a truly extraordinary moment while you are there, that is exactly what we do. We design the experience itself. The memory you make in the place, not the logistics of getting there.

  • Your planning fee covers everything Maaven does on your behalf. The intake process, the research, the experience design, the vendor sourcing and coordination, the personal elements created specifically for your person, the contingency planning, and the full management of the experience from beginning to end. It does not include the cost of dining, activities, or vendor services, which vary based on what we build together. We will always be transparent about the full investment before anything is confirmed.

  • Not unless you want to be. Some clients want to be there for the moment. Others prefer the experience to feel entirely organic, with no visible orchestration behind it. We design for both. Whatever role you want to play, or not play, we build around it.

  • The sooner, the better. For the Moment Experience, two to three weeks is generally enough. For the Milestone Experience, four to six weeks is recommended. For the Memoir Experience, eight to twelve weeks minimum is needed.

The more complex the experience, the more time the design and coordination requires. That said, if something meaningful is coming up soon, reach out anyway and we will tell you honestly what is possible.

  • That is completely fine and honestly more common than you might think. You do not need to come to us with a plan. You just need to know who you want to celebrate and why this moment matters. We ask the questions, we do the thinking, and we bring you something to react to. Your job is to tell us about the person. Our job is to figure out everything else.

  • Because getting it right is the only thing we are focused on from the moment you reach out to the moment the experience ends.

Every detail we design is traced back to something real in your person's story. Every vendor we work with is chosen because we trust them with something this important. Every contingency is planned before it is needed. And we do not consider it done until we are completely confident that what we have built is exactly right for the person at the center of it.

You have high standards. So do we. That is the only answer that actually matters.
